How many years have you been in the property management business?

Since 1985.

How many estates do you manage? Provide a summary of their type, size and location.

We manage over 100 sites in Cambridgeshire, Hertfordshire, Leicestershire and Essex. They range from one block of 4 flats to 124 flats over numerous blocks and several developments of freehold houses where there are common parts to manage. The type of property varies from brand new, ultra-modern, purpose built property to conversions of older property such as an old brewery and an old granary in conservation areas.

How many staff in your company are directly involved with estate management?

Francis Butson & Associates only deal with estate management, therefore, all of our 12 members of staff are involved. We have separate maintenance and accounts departments and a legal department dealing with property transfers.

What IT facilities do you have and what information can you record and keep updated? Are you registered under the Data Protection Act?

We are fully computerised and use well known industry software which deals with all aspects of the accounts and has mail merging facilities in order to correspond with leaseholders and contractors. We are able to record all necessary information appertaining to our business. We also have an electronic filing system which holds copies of all documentation and correspondence. We take the importance of all of our records very seriously and our data is backed up daily on the premises and at two outside back up facilities.

We are registered under the Data Protection Act and our registration number is Z7101184.

What length of notice period do you require to take over the management of our block?

A month’s notice is ideal, however, we have had to take over properties previously with no notice. Setting up your company on our system very much depends on the co-operation of the current managing agent.

Francis Butson & Associates is a long established member of The Association of Residential Managing Agents (ARMA) and we are authorised by the Financial Conduct Authority (FCA)

How can you convince us that you can offer a quality service at a fair cost?

We offer a quality service because we are solely estate managers. In our experience, letting agents and estate agents who deal with block management simply have the business as a sideline to “prop up” their main business of letting or selling property.

We have never once advertised for business. It all comes from recommendation through various routes. Most of it is instigated by disgruntled leaseholders looking for a better service than they currently receive. We also have a good reputation with local solicitors and a close working relationship with three developers whose new developments are passed to us for management. We have also been appointed as Managers of two sites by the Leasehold Valuation Tribunal where there have been problems with the freeholder in one case and a previous managing agent in the other.

Our fee structure is approved by ARMA, RICS and The First-tier Tribunal (Property Chamber). We charge a price per unit per year plus VAT. The advantage of this structure is that it is fixed for a year at a time and therefore directors will know exactly what their management charges are for the year. As we have been in this business for many years we know our costs intimately and are able to calculate accurate costing. We are always mindful of value for money and keeping costs to a minimum for leaseholders.

Yes, we are registered for VAT.

Do you charge a fee for contractor selection and/or a percentage of their charges?

No, we do not. This practise is not endorsed by ARMA.
